This role serves as a key point of contact for order processing, communication, and resolution of issues related to parts procurement and fulfillment. This person will coordinate day-to-day parts-related activities, ensuring accuracy and timeliness of orders, supporting customer requests, and collaborating with internal teams and vendors to ensure a smooth and efficient parts supply process. They will assist in achieving customer satisfaction and internal performance targets by following established processes and escalating issues as needed.How you will do it:Process and coordinate parts orders from National Account customers promptly and accurately.Act as a liaison between customers, internal teams, and suppliers to manage order status, lead times, and delivery updates.Support the onboarding of new customers and ensure all account-specific order entry procedures are followed.Communicate proactively with customers regarding order issues, delays, substitutions, or pricing questions.Maintain accurate records of open orders, backorders, and shipment tracking using internal systems.Coordinate with warehouse, purchasing, and logistics teams to ensure timely delivery and resolve any disruptions.Participate in team meetings and provide updates on open issues, customer needs, and workload status.Support reporting, order trend analysis, and ad hoc projects related to parts ordering and customer performance.Assist in resolving discrepancies in pricing, order fulfillment, billing, or returns.Support process improvements to increase speed, accuracy, and customer satisfaction.Principal DutiesAnswer phone and email inquiries from internal and external customers professionally and promptlyEnter and manage parts orders with a high level of accuracyCoordinate with vendors and internal departments to ensure timely order fulfillmentResearch and resolve order discrepancies, backorders, or pricing issuesSupport administrative duties such as billing support, credit memos, and documentationContribute to team goals, customer satisfaction metrics, and continuous improvement initiativesWhat we look for:Required2+ years of experience in customer service, order management, procurement, or coordination role, ideally in a technical or HVAC-related environmentStrong communication skills, with the ability to interact professionally with internal and external stakeholdersExcellent attention to detail and organizational skillsProficiency in Microsoft Office (Outlook, Excel, Word); experience with ERP systems or order entry platforms preferredAbility to multitask and prioritize workload in a fast-paced, high-volume environmentHigh school diploma or equivalent; Associate’s degree or vocational training preferredPreferredExperience with HVAC or mechanical parts ordering and logisticsFamiliarity with National Account customer support and coordinationUnderstanding of procurement or supply chain processesJCI employees are valued members of the Johnson Controls family.
