This position will report to the Senior Business Coordinator, Canada.The owner of the position will be mainly responsible for providing efficient administrative, organizational, and logistical business support to the Neuroscience and Oncology Commercial and Medical Teams. In addition, this role will support the Sr. Business Coordinator Canada on general tasks. The job holder will collaborate closely with all internal and external stakeholders relevant to the Neuroscience and Oncology Commercial and Medical teams, while demonstrating Company values at all times.Essential Job Functions:Responsible Procurement Coordinator for the Neuroscience and Oncology Commercial teams and the Medical TeamTimely preparation and tracking of PRs/POsResponsible for contract management (requesting contracts and timely execution of contracts)Distribute and manage contracts within Jazz systems (Coupa and HCP engagementNOW)Invoice management (ensure invoices passed on to accounting on time and keep track of paid/unpaid invoices)Together with Business Owners, manage and maintain tracking list of all procurement tasksAccrual and budget management support to the Neuroscience and Oncology Commercial and Medical teams.Vendor management including system setupActs as the liaison between Jazz Pharmaceuticals Procurement Operations and Jazz CanadaResponsible for the administrative part of the health care professionals (HCPs) sponsorship process for national and international congresses, incl. travel and accommodation organization for HCPs including expense reporting in Concur.Responsible for the end-to-end HCO Sponsorship Program.Responsible for Facilities Management of the Mississauga Head Office, including but not limited to, maintaining relationships with Building Superintendents, Jazz Global Facilities Management, procurement management for all Head office related activities (Rent, Bell Fibe Network, Couriers, Supplies, Mail), working closely with Jazz IS/IT departments providing onsite network systems for upgrades and system outages, oversight of boardroom bookings.Assist in administrative tasks of other departments and support the Sr. Business Coordinator Canada on general tasks and act as a back-up.Project manage meetings, events, including booking and planning of internal and external meetings and off-sites in support of the business.Assist Payroll department in the preparation and distribution of Annual T2200s.Build strong working relationships with the Neuroscience and Oncology Commercial and Medical teams to ensure the business is supported to achieve our objectives.Work within legal and compliance guidelines.Protect the interest of the Company in accordance with policies and governmental laws and regulations.Required Knowledge, Skills, and AbilitiesExcellent administration skillsMust have a “can do” attitude and be able to work autonomously and as part of a teamAbility to work well and deliver under pressureBe resourceful, proactive, assertive, easy to approach and self-motivatedStrong organizational and time management skillsAbility to execute on multiple projects simultaneouslyAbility to manage own workload with flexible approachAbility to drive projects forward, work on own initiative and work with a cross-functional teamAbility to adapt to shifting prioritiesAccurate, with an eye for detailEssential: Very good command in written and spoken English (French an Asset)Experience in similar job/environmentIntermediate to advanced MS Office skills (Teams, Word, Excel, Outlook, PowerPoint) Jazz Pharmaceuticals is an equal opportunity/affirmative action employer and all qualified applicants will receive consideration for employment without regard to race, color, religion, sex, national origin, disability status, protected veteran status, or any characteristic protected by law. The goal is to ensure fair and competitive compensation aligned with the candidate's expertise and contributions, within the established pay framework and our Total Compensation philosophy. Internal equity considerations will also influence individual pay decisions. This range will be reviewed on a regular basis.At Jazz/Celator, your base pay is only one part of your total compensation package.
