Position Summary/ Department Summary:Under minimal supervision and following established policies and procedures, the Program Coordinator I will plan, organize and provide administrative support for leadership and faculty members of the
Rosamund Stone Zander Translational Neuroscience Center (RSZ TNC). The RSZ TNC strives to improve the lives of all children with neurodevelopmental disorders by fostering timely and efficient translational research.
The Program Coordinator I will perform a variety of duties, requiring in depth knowledge of departmental programs and services, while using independent judgment and discretion in planning, prioritizing, and organizing work to meet the goals and deadlines of the RSZ TNC. This position will also be responsible for aiding in operations of the
RSZ TNC Clinical Research Unit, such as scheduling appointments and meetings, maintaining files and records, and providing tours of the Clinical Research Unit to new employees and study teams interested in using the space.
Key Responsibilities:- Coordinating activities and daily operations of a program. Providing support for the Center’s leadership and faculty members.
- Preparing or assisting in preparation of proposal for funding and/or funding continuation from outside sponsors.
- Interacting and maintaining liaison with staff, faculty and outside/community agencies in facilitating program objectives.
- Assisting leadership and faculty of the RSZ TNC with preparation of complex reports and documents. Collecting and compiling information from diverse sources, creating charts, graphs and spreadsheets and performing other related duties as requested.
- Preparing correspondence, internal forms, reports, manuscripts, informational flyers, and other materials to help facilitate the Center’s programs and services. Proofreading and editing materials for grammar, punctuation and spelling.
- Answering, screening and routing telephone calls and greeting and directing visitors and staff. Receiving, screening and drafting responses to correspondence. Conferring with staff and others to provide technical advice, provide problem solving assistance and answering questions about the program and its goals and/or standardized information within scope of knowledge and authority. Referring inquiries to others as needed.
- Scheduling appointments and meetings. Reserving meeting locations, planning setup, ordering refreshments, supplies and equipment, and preparing meeting agendas and other materials. Preparing travel arrangements as necessary. Assisting in organizing and scheduling conferences, video conferences, seminars, and other department sponsored programs or events.
- Ordering supplies and aiding in organizing services such as scheduling for Clinical Research Unit, performing other related duties as assigned, working with research nurses and study team staff.
- Maintaining files, records, and databases in Smartsheet and Dropbox.
- Assisting with the quarterly newsletter by collecting, organizing, and entering information on Constant Contact
- Recommending and implementing internal office systems and procedures.
Minimum Qualifications
Education:- Associate’s degree or equivalent experience required. Bachelor’s degree strongly degree preferred.
Experience:- One year of relevant experience required. Three years of experience preferred.
- A two year time commitment at minimum is preferred.
- The ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations.
- Strong attention to detail and organizational skills to effectively organize workload, manage time and resources, and schedule and prioritize projects.
- The ability to work with diverse internal and external constituencies.
- Ability to work independently and collaboratively within a team.
- Proficiency in Microsoft Office (Outlook, Excel, Word).
- Experience with Epic and Smartsheet is a plus.
