Project Material Coordinator
Job Summary
We are seeking a highly experienced Project Material Coordinator to support Project Managers, Engineers, Supply Chain, and Construction teams on a large-scale capital infrastructure program. This role is crucial in managing the flow of project materials from engineering and procurement through vendor documentation, expediting, delivery, and ensuring construction readiness. The ideal candidate will have a proven track record supporting major pipeline, compressor station, meter station, pump station, terminal, or other midstream facility projects, with hands-on experience across engineering, procurement, fabrication, inspection, logistics, and construction.
Responsibilities
- Develop, maintain, and reconcile project and facility material lists and equipment requirements.
- Support the creation of material bid packages, purchase requisitions, and procurement activities.
- Track procurement status, manufacturing progress, and delivery dates for long-lead and schedule-critical materials and equipment.
- Coordinate with Project Management, Engineering, Supply Chain, QA/QC, Construction, and Scheduling to align materials with project requirements and construction schedules.
- Manage and track vendor data and documentation, including drawings, submittals, Material Test Reports (MTRs), inspection records, certifications, and Factory Acceptance Test (FAT) documentation.
- Coordinate vendor documentation reviews and approvals with internal engineering teams and external firms.
- Perform material and equipment expediting, proactively identifying potential delays, and ensuring vendors meet project delivery timelines.
- Collaborate with expediting, inspection, transportation, and logistics teams to support timely delivery to project sites.
- Maintain visibility of material status from purchase requisition through fabrication, inspection, shipment, and final delivery.
- Work closely with project schedulers to identify material constraints that could affect engineering, construction, commissioning, or startup activities.
- Prepare and distribute weekly reports on material readiness, procurement, expediting, and delivery status.
- Maintain accurate project material records and reporting using Excel, SharePoint, Oracle, and other project management systems.
- Identify material shortages, documentation gaps, and schedule risks, escalating issues to project leadership as needed.
Requirements
- Minimum of 7+ years supporting materials, procurement, expediting, or material coordination in large pipeline, midstream, energy, or industrial construction projects.
- Strong experience supporting pipeline facilities and compressor stations is highly preferred.
- In-depth knowledge of valves, piping, fittings, flanges, and specialty components, as well as skids and packaged equipment.
- Familiarity with compressor and station equipment, electrical and instrumentation (E&I) equipment, RTUs, MCCs, PCRs, and related facility equipment.
- Proven experience managing vendor drawings, Material Test Reports, inspection documentation, FAT records, and other vendor data requirements.
- Demonstrated ability to coordinate material requirements across Engineering, Procurement, QA/QC, Scheduling, Logistics, and Construction teams.
- Proficiency with Excel, SharePoint, Oracle, or comparable ERP and procurement systems.
- Excellent organizational skills with the ability to manage multiple vendors, purchase orders, material packages, and delivery priorities simultaneously.
