Position Title: Business Operations Manager

Reports to: Product Manager

Based in: Houston, Full-Time

Putting Good Housing within reach is the mission of Onsite ICF - creating a step change from the status quo in the global housing space. Our key technology is an innovative wall system based on the onsite fabrication and assembly of polyurethane foam construction blocks. The blocks construct the walls and provide forms for the structural elements of concrete and steel. Our website: www.onsite-icf.com showcases the system, the process and the finished product. Onsite ICF deploys its ‘RIM’ mold Systems to other businesses and supplies polyurethane chemicals to these licensed dealers. Onsite ICF also provides turnkey construction services.

Position Summary

The Operations Manager will oversee the core administrative, supply chain, and business support functions of Onsite ICF operations in Houston. This multi-faceted role will serve as the operational backbone of day-to-day businesshandling purchasing, logistics, inside sales support, office administration, expense tracking, and basic HR administrative tasks.

Essential Functions

  1. Purchasing & Inventory Control: Source, negotiate, and purchase supplies, materials, and equipment required for Onsite ICF operations. Maintain positive vendor and supplier relationships to secure competitive pricing and reliable delivery. Monitor stock levels, track orders, and ensure materials arrive on time.
  2. Logistics & Delivery Coordination: Plan and coordinate inbound shipments and outbound customer deliveries. Schedule and manage transportation, freight arrangements, and carrier relationships.
  3. Inside Sales: Field incoming customer inquiries, process orders, and prepare sales quotes or proposals. Maintain the customer database/CRM, update project or order statuses, and deliver updates to clients. Act as the primary administrative link between sales leads, team members, and customers. Oversee Onsite ICF trade show involvement and exhibit accordingly.
  4. Office Administration: Manage general office workflows, municipal compliance, and administrative tasks. Collect, verify, and code vendor invoices, receipts, and operational expenses for accounting. Assist with budget oversight and job/project cost tracking by matching actual expenses against estimates. Provide marketing support for promotional items and marketing collateral. Provide tactical support for bookkeeping, A/R and A/P and to Accounting Partner as required. Tactical support on insurance matters for USA operations and construction.
  5. HR Support & Employee Onboarding: Facilitate onboarding for new hires, including collecting tax forms, identification, and company documentation. Oversee time recording and PTO requests. Assist in maintaining employee records, company policies, and health/safety compliance documentation. Coordinate employee benefits.

Knowledge, Skills and Abilities

  1. Excellent organizational skills with the ability to manage competing priorities simultaneously.
  2. Strong negotiation and clear written and verbal communication skills.
  3. Entrepreneurial mindset. Comfortable working in a start-up environment that requires some degree of self-initiative and direction.
  4. High attention to detail in recordkeeping, expense coding, and order processing.
  5. Solid communication skills. Proficient English, computer skills, ability to write and to create documents. Ability to communicate effectively at all levels and audiences.
  6. Experience with bookkeeping/accounting software (e.g., QuickBooks) or operational/CRM software is a strong plus.

Qualifications and Requirements

  1. 3–5+ years of experience in operations, office management, administrative management, or supply chain support in a small business setting. Experience in the affordable housing sector and social enterprise is a plus.
  2. Bachelor’s degree in Business Administration or related field is required.
  3. Valid Drivers License.
  4. US Citizenship or valid work permit.
  5. Ability to travel. The Position is expected to attend trade shows domestically.

Working Conditions / Physical Requirements:

The performance of this position will require exposure to the manufacturing areas where the use of personal protective equipment such as safety glasses, breathing apparatus and mandatory hearing protection are required. There is an occasional requirement for heavy lifting and moving heavy objects.
