Position Summary

We are seeking a highly organized, dependable, and motivated Seasonal HR & Administrative Assistant to support our Operations Manager directly.

This is a great opportunity for an early-career HR or business professional with hands-on onboarding or HR administrative experience who is eager to learn, take initiative, and grow within a fast-paced small business environment.

Key Responsibilities

  • Assist with new-hire onboarding from accepted offer through completion.

  • Initiate onboarding through our HRIS and track completion of required new-hire documents.

  • Coordinate the I-9 process by ensuring new hires complete their required portion and have appropriate documentation ready for management review and verification.

  • Follow up with new hires regarding missing documents, signatures, or incomplete onboarding requirements.

  • Maintain organized and confidential employee files and HR records.

  • Assist with job postings, applicant review, interview scheduling, candidate communication, and initial screenings.

  • Track employee attendance, tardiness, call-outs, and attendance points and notify the Operations Manager when employees approach or reach established thresholds.

  • Review timekeeping records for missed punches or incomplete information and follow up as needed.

  • Assist with updates to the employee handbook, policies, forms, and HR documents.

  • Provide administrative support including scheduling meetings, maintaining spreadsheets and trackers, organizing records, and ordering office supplies.

  • Assist with trade show and event applications, registrations, scheduling, and administrative coordination.

  • Help track business licenses, permits, renewals, and other administrative deadlines.

This position will not independently process payroll or provide final verification/sign-off on Form I-9 documentation.


Qualifications

  • Minimum of 1 year of HR, employee onboarding, HR administrative, or closely related experience.

  • Familiarity with employee onboarding and Form I-9 requirements.

  • Experience using an HRIS or employee management system.

  • Highly organized with strong attention to detail and follow-through.

  • Reliable and dependable, with the ability to manage multiple priorities and deadlines.

  • Self-starter who is eager to learn and comfortable taking initiative.

  • Strong written and verbal communication skills.

  • Comfortable having professional conversations regarding attendance, missing documentation, deadlines, and company procedures.

  • Ability to maintain confidentiality and exercise good judgment.

  • Comfortable using spreadsheets, email, and administrative systems.

  • ADP experience is a plus but not required.

Schedule & Availability

This position will average approximately 25–30 hours per week, with a flexible schedule and working hours generally between 9:00 AM–6:00 PM.

Candidates must be available to work occasional weekends based on business needs. Initial training hours may also include weekends.
