Requirements

PACE is seeking a dynamic, highly organized individual with strong administrative skills to support administrative needs specifically for our Environmental Water Division. The admin group works as a team, so at times, is not limited to this one division. This candidate should be able to multi-task and have ability to switch to new projects accordingly. This position requires performing a variety of tasks, including, but not limited to the following:

  • Coordinate the preparation, formatting, production and submittal of engineering reports, technical memoranda, specifications, proposals and other project deliverables.
  • Prepare and format professional correspondence, proposals, change orders, purchase orders, sub-agreements, RFIs, work authorizations, meeting minutes, reports, tables and spreadsheets.
  • Assist Project Managers with project schedules, tracking, monthly reports, invoices and other project administration.
  • Coordinate project documentation from project startup through completion, including electronic project files and correspondence.
  • Assist with engineering specifications, including formatting and maintenance of specification libraries.
  • Coordinate contracts and other project documentation to help ensure timely processing.
  • Assist with project-related purchasing, shipping and vendor coordination.
  • Prepare presentations and other project or marketing materials as needed.
  • Coordinate meetings, calendars, travel arrangements and expense reports for Division Managers and senior staff.
  • Attend meetings, prepare professional meeting minutes and track follow-up items.
  • Maintain client and project information within company databases.
  • Work collaboratively with PACE's administrative, engineering and graphics teams.
  • Provide additional project and administrative support as priorities arise.
  • 3+ years of project coordination, project administration or administrative experience.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to manage multiple projects, deadlines and changing priorities.
  • Strong attention to detail and commitment to producing accurate, professional work.
  • Proficiency with Microsoft Word, Excel, Outlook and PowerPoint.
  • Ability to work independently while also contributing effectively as part of a team.
  • Professional judgment and ability to handle confidential information.

Highly Preferred:

  • Experience within civil engineering, environmental consulting, architecture, construction, or other A/E/C professional-services environment.
  • Experience supporting engineers, project managers or technical professionals.
  • Experience preparing technical reports, specifications, proposals or similar professional project documents.
  • Experience with Deltek, Ajera, Procore or comparable project management/ERP software.
  • Experience with Microsoft Project.

Physical Demands:

While performing the duties of this job, the employee is regularly required to sit, use hands, handle or feel; and talk or hear. The employee is occasionally required to stand, walk and reach with hands and arms. The employee may occasionally lift and/or move up to 30 pounds. Specific vision abilities required by this job include close vision; color vision is very helpful.

Work Environment:

The noise level in the office work environment is moderate and typical of a professional office environment.

Compensation:

$30–$38 per hour, depending on experience and qualifications.
