The Fleet Manager is responsible for administering the company’s driver & fleet vehicle compliance, DOT, and FMCSA programs. This position maintains driver qualification records, monitors driver eligibility, supports regulatory audits, and helps ensure employees operating company vehicles meet company and regulatory requirements.
The role also provides secondary support for fleet asset administration, including vehicle records, registrations, assignments, fuel cards, telematics, and vehicle onboarding. The position works closely with Fleet, Human Resources, Recruiting, Safety, Operations, managers, and drivers.
Primary Responsibilities
DOT and Driver Compliance
Maintain Driver Qualification Files and required driver documentation.
Monitor Motor Vehicle Records, driver licenses, endorsements, restrictions, medical certificates, and expiration dates.
Administer DOT and FMCSA compliance requirements, including Drug and Alcohol Clearinghouse processes.
Support driver eligibility reviews, classifications, onboarding, audits, and corrective actions.
Administer Hours of Service and Electronic Logging Device compliance.
Monitor driver safety information and communicate compliance deficiencies to employees and managers.
Maintain accurate compliance records and support regulatory inspections and audits.
Assist with driver training, safety communications, incident response, and retraining.
Coordinate compliance matters with Human Resources, Recruiting, Safety, Operations, and field leadership.
Fleet Systems and Reporting
Maintain accurate driver and compliance data within fleet and telematics systems.
Monitor compliance reporting and prepare audits, trackers, scorecards, and management reports.
Support Samsara, Geotab, Samba Safety, ELD, and other fleet compliance platforms.
Assist with data validation, system updates, and process improvements.
Secondary Fleet Asset Support
Maintain vehicle records, registrations, titles, insurance documentation, and assignments.
Support vehicle onboarding, transfers, deliveries, and decommissioning.
Assist with fuel card administration, annual inspections, telematics installations, and fleet documentation.
Coordinate with drivers, managers, vendors, dealerships, and transportation providers.
Provide backup support to the Fleet Asset Manager and assist with other fleet projects as assigned.
Minimum Qualifications
High school diploma or equivalent.
Minimum of 3 to 5 years of experience in DOT compliance, driver administration, transportation safety, fleet operations, or a related field.
Working knowledge of DOT and FMCSA driver qualification requirements.
Strong organizational, recordkeeping, communication, and follow-up skills.
Ability to manage confidential information and work across multiple departments.
Proficiency with Microsoft Office and experience using fleet, telematics, compliance, or transportation systems.
Preferred Qualifications
Associate degree or other post-high school education or professional training.
Experience with Driver Qualification Files, Motor Vehicle Record monitoring, Drug and Alcohol Clearinghouse requirements, Hours of Service, or Electronic Logging Devices.
Experience with Samsara, Geotab, Samba Safety, or similar platforms.
Commercial Driver’s License is a plus.
