What You’ll Be Responsible For
- Own the full life cycle of RFIs, submittals, and shop drawings, preparing, routing, and tracking each one until it reaches final resolution.
- Keep the team building from the right information by managing current drawing sets, specifications, revisions, approved documents, and logs within company systems.
- Champion HCAI documentation on healthcare projects, carefully tracking permits, inspection records, design changes, and agency closeout items.
- Scrutinize drawings and specs to uncover missing, conflicting, or unclear details, turning them into timely RFIs and promptly raising any regulatory, cost, schedule, quality, or safety concerns to leadership.
- Serve as the communication hub linking the Project Manager, Superintendent, subcontractors, vendors, architects, engineers, owners, hospital representatives, and inspectors.
- Monitor procurement closely, including long-lead materials, equipment, submittal approvals, and deliveries, and flag potential schedule impacts early.
- Build solid change order support through pricing backup, subcontractor proposals, correspondence, and accurate tracking of design and field changes.
- Join project meetings and site walks, capture clear minutes and action items, and drive every assignment to completion while learning field conditions firsthand.
- Contribute actively to schedule updates, look-ahead planning, inspections, testing records, and punch lists that keep projects moving.
- Assemble polished closeout and turnover packages, including as-builts, O&M manuals, warranties, and punch documentation.
To Be Successful in This Role, You’ll Bring:
- 1+ year of construction experience, or a successful track record as a Project Coordinator or similar construction support role.
- Hands-on familiarity with commercial project documentation such as RFIs, submittals, drawings, specifications, and logs, with the ability to navigate plans and specs confidently.
- HCAI/OSHPD healthcare construction experience strongly preferred, including work in active or occupied facilities and knowledge of HCAI documentation, inspection, approval, and closeout workflows; commercial tenant improvement experience is also a great fit.
- Experience coordinating with IORs, architects, engineers, hospital teams, and subcontractors is a plus.
- Bachelor’s degree in Construction Management, Engineering, Business, Architecture, or a related field preferred but not required.
- Proficiency with Procore, Bluebeam, or comparable construction document management tools preferred.
- An exceptionally organized, detail-driven professional with dependable follow-through and a polished communication style.
