Position Overview

Phoenix Ortho Injury Spine & Extremity is seeking a professional, highly organized, and patient-focused Intake Coordinator to join our team in Stone Mountain, Georgia.

As one of the first points of contact for new patients, the Intake Coordinator plays an important role in creating a welcoming and seamless patient experience. This position is responsible for handling incoming patient calls, completing new patient intake, accurately entering patient information, and coordinating appointments across multiple providers and locations.

The ideal candidate has previous experience in a medical office or healthcare environment, is comfortable managing a high volume of calls, and is able to provide professional, compassionate, and efficient service to every patient. Bilingual proficiency in English and Spanish is highly preferred.

Key Responsibilities

• Serve as a primary point of contact for new patients and provide professional, courteous assistance.
• Complete new patient intake by gathering and verifying demographic, insurance, referral, and other required information.
• Accurately enter and maintain patient information within CareCloud EMR.
• Schedule and coordinate appointments across multiple providers and office locations.
• Manage scheduling across different time zones when applicable.
• Clearly communicate appointment details, office information, required documentation, and pre-appointment instructions.
• Provide exceptional customer service while managing a high volume of inbound and outbound calls.
• Ensure patient information and documentation are complete, accurate, and updated in a timely manner.
• Collaborate with clinical and administrative team members to resolve scheduling concerns and support an efficient patient experience.
• Maintain patient confidentiality and handle protected health information in accordance with HIPAA and organizational policies.
• Perform additional administrative and patient coordination duties as assigned.
  
  

Required Qualifications

• Previous experience working in a medical office, healthcare practice, or similar patient-facing healthcare environment.
• Working knowledge of medical terminology.
• Strong verbal and written communication skills.
• Professional and confident telephone presence.
• Excellent attention to detail and organizational skills.
• Ability to manage multiple tasks and priorities in a fast-paced environment.
• Ability to remain professional and patient-focused while handling a high volume of calls.
• Comfortable spending a significant portion of the workday communicating with patients by phone.
• Basic computer proficiency and ability to learn new systems quickly.

Preferred Qualifications

• Bilingual in English and Spanish (verbal and written) strongly preferred.
• Previous experience in patient intake, medical scheduling, patient access, or referral coordination.
• Experience using CareCloud EMR or another electronic medical record or scheduling system.
• Experience working in a multi-provider or multi-location medical practice.
• Experience providing concierge-style or high-touch patient service.
