Part-Time Shipping, Receiving & Quality Assurance Technician

This role gets every order out the door correctly and on time, checks in everything that arrives, and confirms the instruments we sell work before they reach a customer.

Tech Instrumentation is a small distributor and manufacturer of weather stations, temperature and humidity instruments, data loggers and test equipment. We ship most orders the same day, including a steady flow of replacement wireless sensors, and we run an in-house calibration lab. You will be the person who packs, checks and ships that work, and who keeps the stockroom accurate.

Every order ships complete, correct and on the right carrier service, the same day whenever possible.

• Pick parts from stock using the daily pick lists, matching part number and quantity exactly.
• Double-check each order against its packing slip before sealing: right part, right quantity, right accessories (probes, cradles, batteries, manuals).
• Pack items in the right box or envelope with enough protection for the trip, and add the packing slip and any certificates or paperwork.
• Create shipping labels in Shopify, FedEx Ship Manager and UPS WorldShip, choosing the service the customer paid for.
• Handle special shipments: collect and third-party billing on customer accounts, international shipments with commercial invoices, and customer PO numbers on labels when required.
• Record tracking numbers on the order and confirm the order shows as fulfilled.
• Call or email customers when an order can't ship as entered: missing information (such as a base station model number), an out-of-stock item, an address problem, or a question about their order. Record the outcome on the order.
• Tell the General Manager right away about stock shortages, damaged items or anything that will delay an order.
• Prepare packages for daily carrier pickup and hand them off to UPS, FedEx and USPS drivers.
• Process customer returns and replacements: check in the returned item, note its condition, and route it to the General Manager or the lab.
• Keep packing supplies stocked (boxes, envelopes, tape, labels, packing material) and tell the General Manager before anything runs low.
• Break down empty boxes from the shelves and recycle them, and keep the packing area clean and organized.

Everything that arrives is counted, checked against its paperwork and shelved correctly the day it comes in.

• Meet delivery drivers, sign for packages when required, and note visible damage on the carrier's paperwork before signing.
• Open each shipment and count every item against the supplier's packing list.
• Report shortages, overages, wrong items and damage to the General Manager the same day, with photos of any damage.
• Shelve received items using first-in, first-out rotation: move older stock to the front and place new stock behind it so nothing becomes stale.
• After shelving, count the total quantity of that item on the shelf and write it on the packing list.
• Give the completed packing list, with the shelf count, to the General Manager so inventory can be updated.
• Route received customer equipment (repairs, recertifications) to the lab with its paperwork.
• Break down boxes from incoming shipments and recycle them.
• Keep shelves labeled and organized so every item has a known location, and flag items that are expired, damaged or sitting unsold.

No instrument leaves the building without being checked, labeled and documented.

• Check the operation of received items according to written procedures: power on, confirm readings and functions, and set aside anything that fails.
• Create serial number labels and attach them to both the meter and its box, so the two always match.
• Record serial numbers so any unit can be traced to its order and certificate.
• Check that each item has the correct, current manual, and replace outdated or wrong manuals.
• Create certificates of conformance, and stamp and sign them as directed.
• Keep the Ready to Ship shelves stocked for every item manufactured by Tech Instrumentation, so finished units are always tested, labeled and waiting.
• Report defects, recurring problems and supplier quality issues to the General Manager.
• Support the calibration lab when asked: routing equipment, labeling and packing certified units with their certificates.

The stockroom stays accurate, safe and ready for the next order.

• Take part in regular cycle counts and the annual physical inventory.
• Keep the stockroom, shipping and receiving areas clean, organized and free of trip hazards.
• Store batteries and any hazardous materials according to their handling rules, and follow shipping rules for lithium batteries.
• Protect customer information on packing slips, labels and paperwork, and shred what is no longer needed.
• Suggest improvements to shipping, receiving and quality procedures, and help keep written procedures up to date.
• As a small business, every employee pitches in. Complete other work that needs to be done, as your supervisor requests.

Required

• High school diploma or equivalent.
• Strong attention to detail: this job depends on matching part numbers, quantities and serial numbers exactly.
• Comfortable using a computer, email and web-based software; able to learn shipping and order systems quickly.
• Clear, courteous phone and email manner with customers.
• Reliable, organized and able to work independently once trained.

Preferred

• One or more years of shipping, receiving or warehouse experience.
• Experience with Shopify, UPS WorldShip or FedEx Ship Manager.
• Experience with international shipping paperwork.
• Interest in electronics, instruments or quality control.

Physical requirements

• Lift and carry up to 40 lb.
• Stand, walk, bend and reach for most of the shift, including reaching high and low shelves.
• Use a box cutter, tape gun and label printer safely.
