Personal Best Karate is seeking an organized and motivated Program Operations Manager to support the planning, coordination, and day-to-day operation of our programs.

This position works closely with instructors, administrative staff, and leadership to ensure programs are properly scheduled, staffed, and supported. The Program Operations Manager will oversee operational workflows, monitor program activity, maintain administrative processes, and help identify opportunities to improve efficiency and the overall member experience.

Key Responsibilities
  • Coordinate the day-to-day operations of martial arts, youth, and related programs.
  • Manage program schedules, calendars, and operational requirements.
  • Coordinate with instructors and staff to support appropriate program coverage and scheduling.
  • Monitor enrollment, attendance, and other program activity.
  • Maintain accurate program records, reports, and administrative documentation.
  • Support enrollment and registration processes for new and existing members.
  • Track program performance and prepare routine reports for leadership.
  • Coordinate program-related communications and operational updates.
  • Help resolve scheduling, enrollment, and administrative issues.
  • Support special programs, events, workshops, and community activities.
  • Review existing operational processes and recommend practical improvements.
  • Assist with implementing new programs, procedures, and organizational initiatives.
  • Coordinate supplies, materials, and other resources needed for program delivery.
  • Work collaboratively with staff across different functional areas and locations.
  • Ensure established organizational procedures and program standards are consistently followed.
Minimum Qualifications
  • Bachelor’s degree in Business Administration, Management, Recreation Management, Sports Management, Education, or a related field.
  • 3+ years of experience in program operations, business operations, program administration, recreation management, education services, or a related area.
  • Strong organizational and planning skills.
  • Experience coordinating schedules, programs, projects, or operational activities.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities and meet established deadlines.
  • Comfortable working with spreadsheets, reports, scheduling systems, and general business software.
  • Strong problem-solving skills and attention to detail.
  • Ability to work independently while collaborating effectively with instructors, staff, and management.
