Assistant Project Manager – Industrial Machine Installation

Location: Baltimore, MD (Hellenic project) or McKinney, TX (Encore project)
Schedule: Approximately 40–55 hours per week, based on project needs
Engagement: Contract preferred; direct hire considered for the right candidate
Reports to: Project Manager

Position Overview

We are seeking an Assistant Project Manager to support a large industrial machine installation project in either Baltimore, Maryland, or McKinney, Texas. Candidates local to the project site are preferred.

This field-focused industrial construction role supports the Project Manager from planning through commissioning, turnover, and closeout. You will coordinate with field supervision, customers, vendors, subcontractors, and other trades to keep schedules, materials, safety requirements, and open items on track in an active industrial environment.

Key Responsibilities

Project Planning, Scheduling & Execution

  • Support project planning, installation, commissioning, turnover, and customer sign-off.
  • Maintain project schedules, milestones, look-ahead plans, and critical deadlines; communicate changes and potential impacts.
  • Track progress against scope and schedule, identifying constraints involving labor, materials, equipment, site access, engineering, or other trades.
  • Coordinate with field supervision on staffing needs, work sequencing, site conditions, and project priorities.
  • Track labor hours, material usage, commitments, and potential scope changes; flag cost or schedule risks for the Project Manager.

Material, Equipment & Inventory Coordination

  • Forecast materials, equipment, rentals, and tooling needed for upcoming work.
  • Coordinate material procurement, requisitions, deliveries, inventory, shortages, and backorders to help prevent jobsite delays.
  • Confirm vendor lead times and maintain accurate material and equipment status records.

Customer, Contractor & Trade Coordination

  • Attend customer progress, safety, and trade coordination meetings.
  • Coordinate with customers, general contractors, subcontractors, vendors, OEM representatives, and other trades to resolve issues affecting execution.
  • Record meeting notes, commitments, action items, owners, and due dates; follow open items through completion.
  • Keep project information current so work can continue smoothly when the Project Manager is off-site.

Safety & Compliance

  • Support OSHA requirements, site-specific safety rules, permit programs, lockout/tagout, and job hazard analyses.
  • Participate in safety meetings, pre-task planning, incident follow-up, and corrective actions as appropriate.
  • Identify and promptly communicate jobsite safety concerns.

Project Documentation & Closeout

  • Maintain schedules, daily reports, meeting minutes, material logs, RFIs, submittals, correspondence, and closeout records.
  • Document field conditions, scope changes, and potential change orders for Project Manager review.
  • Support turnover packages, customer documentation, and punch list completion.

Required Qualifications

  • Experience in assistant project management, project engineering, or project coordination within industrial construction or electrical or mechanical contracting.
  • Ability to manage schedules, deadlines, multiple priorities, and open action items.
  • Experience coordinating vendors, materials, deliveries, equipment, and jobsite logistics.
  • Ability to read construction drawings, specifications, scopes of work, and project schedules.
  • Working knowledge of industrial jobsite safety practices.
  • Proficiency with Microsoft Office and project management, scheduling, ERP, or construction management software.
  • Strong communication skills with customers, field teams, contractors, and vendors.
  • Valid driver’s license, acceptable driving record, and ability to travel to project or customer sites as needed.

Preferred Qualifications

  • Experience with industrial machine installation, plant relocation, manufacturing facility upgrades, or multi-trade construction.
  • Familiarity with electrical, mechanical, millwright, rigging, pipefitting, or automation and controls work; depth in at least one discipline is an advantage.
  • Experience coordinating work inside active manufacturing facilities.
  • Experience with wire and cable manufacturing equipment, extrusion lines, drawing lines, CV lines, or similar production machinery.
  • OSHA 30 certification or willingness to obtain it.
  • Experience with cost tracking, labor-hour reporting, change orders, RFIs, submittals, and project closeout.
  • A degree or certification in Construction Management, Engineering, Business, or a related field; relevant field experience may be considered in its place.
