Job Title:Project Coordinator


Company: Specialty Contracting Company – Flooring Trade


Reports to: Office Manager & General Manager

Position Type: Full-Time




About the Role:


We are pursuing an organized, proactive, and detail-oriented Project Coordinator to join our team. In this position, you will oversee project schedules, create and track job budgets, coordinate material deliveries, but most importantly, maintain clear lines of communication between clients, subcontractors, internal staff and suppliers. Key Responsibilities:


Project & Budget Operations:


· Oversee and track project schedules, material allocations, and job sites to guarantee quality and timely project completion.
· Gather project data, verify product selection and pricing accuracy, and create and maintain project budgets.
· Review and analyze labor reports to ensure accurate budget cost controls.
· Generate project closing reports by summarizing Profit & Loss performance for management.

Vendor, Purchasing & Financial Coordination


· Coordinate purchasing by ordering, tracking, and managing flooring inventory and materials for all jobs.
· Assist in evaluating and sourcing new suppliers to improve profit margins and supply chain reliability.
· Prepare invoices, monitor Account Receivables, and submit weekly work orders for timely processing.

Client Relations & Team Communication:


· Serve as a primary point of contact for clients, vendors, and subcontractors via phone, email, and messaging throughout the workday.
· Resolve customer service issues or concerns with a high sense of urgency and professionalism.
· Collaborate with teams to align workflow priorities and assist in training new staff as needed.



Qualifications & Required Skills:


· Fluency in both English and Spanish is strongly preferred.
· Experience of 2+ years of administrative, office coordination, or project management experience. Construction background is preferred.
· Strong proficiency in Microsoft Office.
· Basic understanding of project budgets, job costing, accounts receivable, and foundational math concepts.
· Exceptional written and verbal communication skills across all platforms.
· Proven ability to multitask, prioritize urgent requests, meet tight deadlines, and perform under pressure in a fast-paced environment.
