Data Entry Associate

About the Role

This is a critical role responsible for entering purchase orders, submitting them to vendors, tracking order status, and providing timely updates to the team.

The ideal candidate brings a positive, professional attitude and excellent written communication skills. This position reports directly to and supports the Customer Service Supervisor, who relies on this role to provide accurate, timely, and helpful support to the team.

What You'll Do

• Enter customer purchase orders into QuickBooks and ensure all order details are clear, accurate, and complete
• Coordinate with internal teams to align on timelines, requirements, and order details
• Monitor order schedules and provide proactive updates on shipping status, trends, delays, or issues
• Troubleshoot order discrepancies and help facilitate quick resolution with internal stakeholders
• Track order activity and follow up as needed to keep orders moving forward
• Ensure all actions support the smooth and accurate execution of the procurement process

Who You Are

• Detail-oriented and able to manage multiple priorities at once
• Inquisitive, service-oriented, and naturally proactive
• Able to communicate clearly and professionally across teams and roles
• Motivated by problem-solving and keeping things on track
• Experienced in purchasing, customer service, order management, or inside sales support
• Enjoy data entry and detail-oriented work while also having the interpersonal skills to communicate with vendors and team members
• Comfortable working in QuickBooks or a similar system
• Familiar with general supply chain operations and fulfillment practices

Nice to Have: Familiarity with capital projects, BOM-based purchasing, or progress billing processes
