LHH is actively seeking a Registration Coordinator for one of our top clients in Reno! This will be a contract opportunity with our client and will report onsite to their office in Reno.

Registration Coordinator

Job Summary

We are seeking a detail-oriented and customer-focused Registration Coordinator to support the registration of orders and initiate the transportation and logistics process for household goods relocation services.

In this role, you will coordinate order information, maintain accurate records, communicate with customers and transportation providers, and help ensure shipments move through the process efficiently and according to customer and contract requirements.

Key Responsibilities
  • Accurately and promptly register new orders and shipment information in computerized tracking systems.
  • Initiate registration and transportation processes in accordance with contract standards and customer requirements.
  • Monitor and track shipments with steamship lines, trucking companies, railroads, and other transportation providers.
  • Maintain accurate and up-to-date information across multiple systems and databases.
  • Answer incoming customer calls, determine the appropriate action, and provide timely assistance.
  • Monitor and respond promptly to customer communications by phone, email, and other channels.
  • Escalate customer and service concerns as appropriate and follow through to support timely resolution and customer satisfaction.
  • Review databases and records for errors, research exceptions, and resolve or escalate issues as needed.
  • Maintain accurate, timely, and complete documentation in proprietary databases and document management systems.
  • Scan, organize, and separate documents within the Document Management System.
  • Maintain department schedules, logs, tasks, and other required records on a daily basis.
  • Support department performance goals, including key performance indicators (KPIs) and customer satisfaction standards.
  • Perform general administrative duties such as typing, faxing, mail distribution, phone messaging, and document filing.
  • Provide feedback and recommendations to leadership regarding departmental initiatives and process improvements.
  • Work collaboratively with internal departments, customers, vendors, and transportation providers.
  • Perform other duties as assigned.
Qualifications

Education
  • High school diploma or equivalent (HSED) required.
  • Associate degree or related college coursework preferred.
Experience
  • Minimum of 2 years of related work experience, with an emphasis on importing and exporting goods required.
  • Experience in domestic and/or international transportation and logistics preferred.
Required Knowledge, Skills & Abilities
  • Basic proficiency with Microsoft Office, including Excel, Word, and Outlook.
  • Typing speed of at least 40 words per minute and proficiency with ten-key by touch.
  • Strong verbal, written, and listening communication skills.
  • Excellent customer service skills and the ability to build effective professional relationships.
  • Strong attention to detail and a high degree of accuracy when entering and maintaining data.
  • Ability to prioritize tasks, meet deadlines, and manage multiple responsibilities.
  • Ability to work independently while also contributing effectively as part of a team.
  • Ability to handle confidential information with tact, professionalism, and discretion.
  • Strong problem-solving and organizational skills.
  • Ability to communicate effectively with customers, vendors, and internal teams.

Physical Requirements

This position requires the ability to:
  • Communicate clearly and effectively by telephone and in person, including hearing and understanding verbal instructions.
  • Walk throughout the office and occasionally crouch or bend to access floor-level storage.
  • Frequently use hands and fingers to operate office equipment, type, enter data, write, and handle documents.
  • Regularly reach with hands and arms and lift, move, or manipulate objects weighing up to 20 pounds.
  • Read instructions, documents, and information displayed on computer screens.
  • Handle and organize documents, folders, and other small office materials.

This position is based in a professional corporate office environment.

Pay Details: $18.25 to $19.25 per hour
