We are seeking a Project Administrative Coordinator for our Atlanta office. This role supports Project Managers and operations personnel with the day-to-day administrative, contractual, financial, compliance, and documentation requirements of municipal, utility, and construction projects.

This position requires a highly organized, detail-oriented individual who is comfortable working with contracts, specifications, Microsoft Excel, and multiple project-management systems. The ideal candidate can independently research project documents to locate requirements and deadlines rather than relying solely on top-down direction.

Key Responsibilities

  • Administrative Support: Provide daily support to Project Managers and operations staff across multiple projects; track due dates and proactively follow up on outstanding items.
  • Contract & Compliance Tracking: Review contracts and specifications to identify required submittals, reports, and deadlines; track Certificates of Insurance (COIs) and subcontractor compliance documents.
  • Data Management & Reporting: Create and maintain project trackers, logs, and spreadsheets; prepare and reconcile Excel reports using formulas, filters, and PivotTables.
  • Billing Support: Assist with pay applications, invoice backup, quantity reconciliation, and subcontractor documentation.
  • Document Control: Format, edit, and organize Word and PDF submittals; maintain organized electronic project files with consistent naming conventions and version control.

Required Qualifications

  • Technical Skills: Strong working proficiency in Microsoft Excel (formulas, sorting, PivotTables), Word, Outlook, and Adobe Acrobat (editing/combining PDFs).
  • Document Comprehension: Ability to read, navigate, and extract information from contracts, specifications, and scopes of work.
  • Core Skills: Exceptional attention to detail (dates, quantities, work orders), strong independent research capabilities, and excellent written/verbal communication.
  • Education: High school diploma or equivalent required (Associate or Bachelor’s degree in Business, Construction Management, or Accounting is a plus).

Preferred Experience

  • 2+ years of administrative or project-coordination experience in construction, utilities, public works, or engineering.
  • Experience with construction billing, pay applications, or job-cost documentation.
  • Familiarity with project management software (e.g., HeavyJob, Cityworks, Kahua, ArcGIS) is a plus.
