Job Description:

The Receptionist will help create a professional and welcoming office environment while managing front desk operations and providing day-to-day administrative support. This role is ideal for someone who enjoys interacting with people, staying organized, and managing a variety of responsibilities in a busy corporate setting.

Key Responsibilities:

  • Welcome and assist visitors, clients, candidates, and vendors, ensuring they are connected with the appropriate individual or department.
  • Manage a busy phone line by answering incoming calls, providing basic assistance, and directing inquiries to the appropriate team members.
  • Accurately record messages and ensure important calls and requests are communicated promptly.
  • Maintain a professional, organized, and presentable reception and common-area environment.
  • Provide general administrative assistance, including document preparation, scanning, copying, filing, and other office support.
  • Receive, sort, and distribute incoming mail and packages while coordinating outgoing shipments as needed.
  • Monitor front-office supplies and coordinate replenishment to ensure necessary materials are always available.
  • Assist with scheduling meetings, appointments, and conference room reservations.
  • Provide basic calendar and travel coordination support for leadership when needed.
  • Assist the HR/People team and other departments with administrative projects and day-to-day requests.
  • Help ensure the office operates smoothly by responding to employee, client, and vendor needs in a timely and professional manner.

Qualifications:

  • 1–2 years of customer service, reception, administrative, or office support experience.
  • Previous experience working in a professional or corporate office environment preferred.
  • Strong verbal and written communication skills.
  • Professional, approachable, and outgoing personality.
  • Excellent organizational and time management skills.
  • Comfortable handling a high volume of phone calls and competing requests.
  • Proficiency with Microsoft Office Suite.
  • High School Diploma or equivalent required. Bachelor's degree preferred.
  • Ability to interact professionally with employees, candidates, clients, vendors, and visitors.
