Work Schedule: Monday–Friday, 8:30 AM–5:00 PM | 100% On-Site

A well-established organization in the real estate industry is seeking an Administrative Assistant to join its Chicago office. This is a professional, team-oriented environment offering the opportunity to support an experienced corporate department and grow into a long-term position.

Job Description:

The Administrative Assistant will provide day-to-day administrative and organizational support to a busy corporate team. This position is ideal for someone who is highly organized, detail-oriented, professional, and comfortable managing documents, records, correspondence, and multiple priorities.

Key Responsibilities:

  • Provide general administrative support to department leaders and team members.
  • Prepare, edit, format, and organize business correspondence and internal documentation.
  • Maintain electronic and physical files while ensuring information is accurate and easily accessible.
  • Assist with organizing documents and materials related to ongoing projects and business activities.
  • Update internal trackers, databases, templates, and departmental records.
  • Coordinate the routing of documents for review, approval, signature, or filing.
  • Track outstanding documentation and follow up with appropriate team members as needed.
  • Maintain confidential records and handle sensitive information with discretion.
  • Assist with general departmental organization and special projects.
  • Perform additional administrative duties as business needs arise.

Qualifications:

  • Previous administrative assistant, department assistant, or similar office support experience.
  • Strong filing, document management, and organizational skills.
  • Professional communication skills and a positive, team-oriented approach.
  • Excellent attention to detail with the ability to manage multiple priorities.
  • Proficiency with Microsoft Office, including Word, Outlook, and Excel.
  • Comfortable working with confidential or sensitive business information.
  • Ability to work independently while also collaborating with a team.
  • Previous experience supporting a legal, real estate, financial services, or other professional corporate environment is a plus.
