GRID Networks is seeking an experienced, organized, and proactive Office Assistant to support the day-to-day operations of our office. This position serves as a key point of contact for employees, visitors, customers, vendors, and building management, and is responsible for keeping the office environment organized, welcoming, and running smoothly. Responsibilities include front office and reception activities, office and kitchen supply management, mail and deliveries, facilities coordination, and general administrative support. This position may also provide administrative and executive support, as well as assist with events and special projects, as needed. This is a full-time, in-office position.

What you’ll do

  • Support general day-to-day office operations to include front desk reception coverage, office supply & kitchen organization, catering orders, mail and deliveries, etc.
  • Purchase office & kitchen supplies, maintaining appropriate stock levels of supplies and food items.
  • Complete weekly grocery shopping and other occasional local errands to support office operations.
  • Greet visitors, answer incoming phone calls, and deliver excellent service to our employees, customers, and guests.
  • Coordinate office meetings as needed, including room bookings, catering, and setting up any required materials.
  • Assist with general office organization and maintenance, including coordinating with property management and outside vendors for building-related matters.
  • Help with events, special projects, and other ad-hoc administrative tasks as needed.
  • Prioritize and respond to day-to-day requests while managing multiple tasks and changing priorities.

You’d be a great fit if you meet the following

  • A high school diploma or equivalent.
  • At least 2 years of experience in an office or administrative role.
  • Strong organization skills and attention to detail.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong customer-service mindset and a professional, welcoming demeanor.
  • Ability to prioritize tasks, exercise good judgment, and work independently in a fast-paced environment.
  • Valid driver’s license and access to a reliable personal vehicle for weekly grocery shopping and other local business-related errands.
  • Proficiency in Microsoft Office (Word, Excel, Outlook. PowerPoint, etc.)
  • Ability to lift and move packages weighing up to 50 lbs, as needed.

It would be even better if you had

  • Experience scheduling meetings and coordinating travel arrangements.
  • Experience maintaining internal tracking systems, such as parking, badging, etc.
  • Experience coordinating with facilities teams, property management, and outside vendors.
  • Experience providing administrative or executive support.
