Full Charge Bookkeeper / Office Manager

Full Charge Bookkeeper / Office Manager for our client in the Marine industry, an organized and detail-oriented one person Office Manager.

Looking for an amazing one person office manager to run the office like a fine-tuned-vessel!

In this dual role, you will be the backbone of daily operations, handling general ledger bookkeeping and office administration as a master mulit-tasker. The ideal candidate is a proactive problem-solver who can balance money tasks with people tasks.

Bookkeeping & Financials (Around 50% of the role)

• Accounts Payable: Process vendor invoices, match them to purchase orders, and issue payments.
• Accounts Receivable: Create and send customer invoices, deposit payments, and follow up on late accounts.
• Reconciliation: Match bank statements and credit card bills with accounting software each month.
• Payroll Support: Collect employee hours, track time off, and process payroll (or work with our outside payroll service).
• Tax Tracking: Prepare data for local sales tax filings and organize files for the end-of-year tax accountant.

Office Management & Admin (Around 50% of the role)

• Front Office: Answer incoming phone calls, greet visitors, and handle daily mail.
• Supplies & Inventory: Monitor and order office supplies, breakroom, and basic printing materials.
• Filing & Records: Maintain clean, secure digital and physical files for business records and basic HR paperwork.
• Vendor Management: Act as the main contact for office utilities, internet providers, cleaners, and repair technicians.
• Team Support: Assist the business owner with basic scheduling, meetings, or organizing company events.

Minimum Qualifications

• Experience
• • 5+ years of experience working in bookkeeping or office administration for a small business.
  • 5+ years experience of hands-on QuickBooks, Microsoft Excel and Google Sheets.
  • 5+ years experience understanding of basic accounting rules, like credits, debits, and invoices.
  • 5+ years experience of absolute confidentiality and discretion when handling private business finances and personal employee information.
  • 5+ years experience of demonstrated ability to multitask, prioritize, and switch gears easily between accounting and admin tasks.
  • 5+ years experience of demonstrated ability to communicate clearly and professionally through multiple channels, including written emails, phone calls, and face-to-face interactions.

Job Details

• Location: Everett, WA
• Schedule: Monday through Friday
• Hours: 7:30am to 4:00pm
• Pay Range: $34.00 – $37.00/per hour
• Long term (temp-to-hire)
