Optometry Office Manager

Navigation Eye Care is seeking an experienced optometry professional to lead the daily operations of our growing pediatric specialty practice.

We already have established systems, scripts, checklists, playbooks, and a defined patient journey. Your responsibility will be to ensure those standards are followed consistently, improve how the practice operates, and hold the team accountable.

What You Will Own:

• Hire, onboard, schedule, coach, and manage team members
• Address performance concerns and recommend corrective action
• Lead daily huddles and weekly performance meetings
• Manage patient flow, appointment capacity, room assignments, recall, cancellations, and no-shows
• Coordinate daily provider routing with the doctors
• Serve as the primary contact for our outsourced billing and coding partner
• Oversee accounts receivable follow-up, billing escalations, and vendor relationships
• Track weekly performance measures and hold department leads accountable
• Maintain and improve written procedures
• Identify and resolve operational problems

Clinical standards and patient-care decisions remain with Dr. Amber Teten, Co-Owner and Clinical Lead. Payroll, marketing execution, provider recruiting, credentialing, capital purchases, and lease decisions remain with ownership or their assigned leads.

How Success Will Be Measured:

You will be accountable for:

• Optical capture rate
• Schedule fill and exam volume
• Recall and cancellation recovery
• Patient experience and Google review volume
• Accurate, complete process documentation
• Prompt employee accountability and appropriate escalation

We need someone who handles problemsnot someone who only reports themwhile knowing when ownership or clinical leadership must be involved.

Your First 90 Days:

During your first month, you will learn every major area of the practice, review our playbooks, work alongside the team, and complete Spexy training.

By day 60, you will be leading daily operations, team meetings, and the billing-partner relationship.

By day 90, you will improve a measurable part of the patient journey and deliver a 12-month operations plan.

Required Qualifications:

• Direct optometry experience
• Previous leadership experience in an optometry practice
• Experience with practice-management software and vision-plan authorizations
• Proven ability to coach employees and hold them accountable
• Comfort working toward weekly performance goals
• Willingness to learn our system before changing it

Experience as a practice administrator, office manager, ABO-certified optician, or senior ophthalmic technician may qualify.

Preferred Qualifications:

• RevolutionEHR experience
• Pediatric or family-practice experience
• Experience leading weekly performance meetings
• Spexy training or willingness to complete it

Schedule:

• Monday, Wednesday, and Thursday: 8:00 a.m.–6:00 p.m.
• Tuesday and Friday: 8:00 a.m.–5:00 p.m.
• Occasional early arrival for huddles or team meetings
• Monday-through-Friday scheduleyour weekends are yours
• Compensation and Benefits

Compensation: $26–$30 per hour
