What’s a typical day as Administrative Assistant I? You’ll be:
  • Managing all aspects of service contract functions, including preparing proposals, negotiating contracts, and ensuring fulfillment of obligations
  • Processing all POC IT annual service agreements, verifying prices, matching purchase orders and invoices, and entering data into ERP systems
  • Maintaining documentation for contracts and invoices, assisting with monthly invoice processing, and ensuring monthly revenue targets are met
  • Maintaining positive rapport with customers, assisting with contract renewals, invoicing customers, and addressing questions about contracts
  • Utilizing CRM systems to retrieve customer and installed base information, updating work orders, and collaborating with sales and IT teams
  • Renewing service contracts, transferring billable calls, and identifying efficiency opportunities
  • Adhering to compliance requirements and escalating customer service issues as needed
This job might be an outstanding fit if you:
  • Can work a set 9-hour shift anytime between 5am–7pm
  • Have excellent communication and organizational skills, and a sense of urgency
  • Hold an Associate Degree or equivalent with 2+ years relevant experience or a Bachelor’s Degree, preferably with experience in billing, invoicing, and contract audits
  • Are proficient in English and familiar with standard administrative tools (Windows, MS Office)
  • Have knowledge of Microsoft Dynamics, Microsoft 365, and Axapta (preferred)
  • Display team leadership, strong time management, and thrive in a fast-paced, ever-changing team environment
