Summary: This position supports accurate inventory management, data entry, shipping, receiving, and administrative coordination for the optical warehouse and lab. The role helps ensure inventory information, product records, and patient-related materials are accurate, organized, and available to support daily operations.
Primary Areas of Responsibility:
- Maintain accurate inventory, pricing, frame, product, and vendor information in company systems.
- Support lab and warehouse operations by assisting with shipping, receiving, returns, exchanges, and product distribution.
- Help keep electronic and physical records organized, accurate, and up to date.
- Communicate with optical staff, inventory personnel, vendors, and management regarding inventory-related needs or issues.
Essential Functions
Inventory Data Entry and Record Maintenance:
- Accurately enter inventory, vendor shipments, frame details, and product information into OfficeMate and other company systems.
- Review inventory data for accuracy and promptly report discrepancies or missing information.
- Maintain current product descriptions, vendor details, pricing, SKU data, and related inventory records.
- Support new frame launches, product updates, and monthly inventory reconciliation by entering, validating, and organizing required data.
- Maintain organized electronic and physical inventory records to support accurate reporting and daily operations.
Packing, Shipping, and Lab Support:
- Pack and ship product returns, defective frames, and location-based exchanges accurately and on schedule.
- Assist with shipping and receiving inventory, including supplies, completed eyewear, and other optical materials.
- Support the distribution of completed eyewear and optical supplies to individual office locations.
- Assist in the optical manufacturing lab as needed to support workflow and operational needs.
Administrative and Communication Support:
- Generate inventory, shipping, receiving, and operational reports as requested.
- Maintain organized filing systems for shipping, receiving, and inventory documentation.
- Communicate clearly with optical staff, inventory personnel, vendors, and management regarding inventory-related questions, issues, or updates.
- Perform additional administrative, warehouse, and operational duties as assigned.

Position Type and Expected Hours
This is a regular, full-time position based at the Windham Support Center. The standard schedule is Monday through Friday; however, additional hours may be required during inventory counts, system conversions, or other business needs.
Qualifications
Required Qualifications:
- High school diploma or equivalent.
- Strong basic math skills and the ability to review information for accuracy.
- Proficiency with Microsoft Excel, Word, and Outlook.
- Excellent attention to detail, accuracy, and recordkeeping.
- Strong organizational and time-management skills.
- Ability to work independently and collaboratively as part of a team.
- Strong verbal and written communication skills.
Preferred Qualifications:
- Experience with Officemate or similar inventory management software.
- Previous experience in an optical, healthcare, retail, or warehouse environment.
- Knowledge of optical products, including frames and lenses.
- At least one year of experience in data entry, inventory control, warehouse operations, or administrative support.
