Position Summary

Waypoint Mutual is seeking a friendly, organized, and dependable Receptionist to serve as the welcoming first connection for visitors, callers, and employees. This position manages the front desk, directs incoming communications, and provides administrative support that helps our office operate smoothly.

The ideal candidate enjoys helping others, communicates professionally, and takes pride in creating a positive experience for everyone who interacts with our organization.

Key Responsibilities

• Greet visitors and assist them in reaching the appropriate person or department.
• Answer and route incoming calls and electronic communications promptly and professionally.
• Receive first reports of workplace injuries and accurately enter the information into the company’s claims system.
• Receive, sort, and distribute incoming mail, packages, and deliveries.
• Prepare outgoing mail and coordinate package pickups.
• Assist with meeting preparation, scheduling, room setup, and materials.
• Maintain an organized, professional, and welcoming reception area and shared office spaces.
• Provide filing, scanning, copying, recordkeeping, and general administrative support.
• Assist with special projects and additional office needs as assigned.
• Handle confidential and sensitive information with appropriate discretion.

Qualifications

• Previous receptionist, administrative, or customer-service experience preferred.
• Strong verbal and written communication skills.
• Professional and welcoming customer-service approach.
• Strong organizational skills and attention to detail.
• Ability to manage competing priorities and follow through reliably.
• Ability to learn new processes and work both independently and collaboratively.
