Apex Design Build is a design build firm, specializing in healthcare practices. Following design build methodology, we manage projects from early visioning and conceptual design stages, all the way through the architectural and construction phases.

We are currently seeking a dynamic Preconstruction Coordinator to support our growing organization. The Project Coordinator will act as a liaison between Apex and its subcontractors, vendors, and consultants, and provide direct support to Apex’s Preconstruction Managers with project permitting. Project Coordinators are involved in all aspects of the project from the early design and through to the completion of the projects.

ESSENTIAL DUTIES AND RESPONSIBILITIES

· Keep contacts current in BuilderTrend and send new contacts to the team via Outlook contact cards.

· Assist Preconstruction Managers with permit documents and applications. Deliver plans and applications to city/town.

· Support Preconstruction Managers correspondence with consultants, subcontractors and vendors to gather data, communicate design requirements, and coordinate design, construction, and engineering documents.

· Assist Preconstruction Managers with preparation of Letter of Intent documents and change orders.

· Collect certificates of insurance from all subcontractors and file with municipality when needed for permits.

· Attend internal preconstruction meetings and track meeting minutes.

· Assist with AE handover meetings / checklists and insure action items are followed up.

· Assist with completing handover checklist to project management and schedule formal handover meeting to Operations. Attend handover and follow up on handover action items.

· Support Preconstruction Managers with other project specific tasks (exterior signage research, appearance review applications, meetings with city/town, etc.)

· Assist with the upkeep of individual timelines and insure it is inputted into Smartsheet.

· Assist with printing and binding of documents.

· Assist Preconstruction on special projects including estimating.

QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)

· Bachelor’s degree preferred.

· Previous work experience in related field, preferred.

· Working knowledge of MS Office Applications (Word, Excel, Project, and Outlook).

· Strong analytical and problem-solving skills.

· Excellent oral and written communication skills.

· Excellent organizational, planning, and prioritization skills.

· Self-motivated, with high energy and a drive to excel.
