We are looking for a highly organized Executive Assistant to support the marketing and sales leadership team in Stoughton, Wisconsin. This Contract position combines executive-level administrative support with hands-on coordination across commercial projects, events, and day-to-day operations. The ideal candidate is proactive, detail-focused, and comfortable managing shifting priorities in a fast-moving drink and beverages environment.

Responsibilities:

• Oversee executive calendars, meeting schedules, travel plans, and expense documentation to keep leadership activities running smoothly.

• Organize meetings from planning through follow-up, including agenda preparation, notes, and action item tracking.

• Create and refine presentations, reports, and business communications that support marketing and sales initiatives.

• Partner with commercial teams to coordinate timelines, materials, and deliverables across ongoing projects and campaigns.

• Handle operational marketing support, including purchase orders, invoice processing, vendor coordination, and budget tracking.

• Assist with the setup and administration of promotional offers, coupons, and related sales support activities.

• Manage the flow, organization, and availability of marketing and sales collateral to ensure teams have accurate materials when needed.

• Maintain commercial documents and shared assets in an orderly and accessible manner.

• Support internal meetings, trade show preparation, and event logistics, including occasional in-person coordination and materials management.

• Use sound judgment when managing confidential information and providing broad administrative assistance as business needs evolve.

• Experience providing executive-level administrative support in a fast-paced business setting.
• Strong ability to manage complex calendars, coordinate travel, and support executive meetings with accuracy.
• Background in marketing, brand support, sales operations, or related commercial coordination work.
• Practical knowledge of logistics, vendor communication, invoicing, and budget-related administrative tasks.
• Excellent organizational skills with the ability to handle multiple deadlines and changing priorities.
• Strong written and verbal communication skills, including preparing clear presentations and correspondence.
• High level of discretion when working with sensitive business information.
• Proficiency with common office and collaboration tools used for scheduling, reporting, and documentation.
