Concierge/Scheduler Monday through Friday days, plus remote on-call

We are currently searching for a Concierge/Scheduler for our front desk to be a pleasant, polished and helpful person that is the first point of contact with the ability to manage scheduling for the resident care staff.

Shift Details:

Currently need someone for 8:00 am - 4:30 pm Monday through Friday on-site, plus remote on-call. This will require being able to take calls and find coverage in case of emergencies. There is an on-call allowance, plus tracking and reporting off-site time for yourself for calls to find coverage to ensure proper pay will be part of your responsibility.

Primary Responsibilities:

• Greet and assist residents and visitors in a polished, professional, discrete manner.
• Manage the front desk sign-in and out process for visitors and vendors. Handle and direct incoming phone calls.
• Inform residents or staff of the arrival of guests, packages, and flowers.
• Accommodate residents’ requests for assistance - referring to other staff as necessary.
• Provide marketing information to visitors.
• Assist Activities Department with program/event reservations; collect program/event fees; with accurate records.
• Maintain and regularly update databases of resident general information and update/distribute resident phone lists.
• Support other departments as needed to ensure high quality resident service.
• Demonstrate positive resident relations and facility’s quality care and service standards to residents, families, and guests. Maintain a positive, pleasant attitude at all times.
• Schedule staffing for resident assistants to ensure coverage without agency usage and avoiding overtime.
• Respond rapidly to call outs and schedule changes as needed, including remotely responding to finding coverage.
• Must be able to plan, provide data to manage attendance. attention to detail, and fair and consistent usage of the PRN pool.
• Attend in-service classes and staff meetings.
• Regular and predictable attendance - daily.
• Perform other duties as assigned.

Minimum Job Qualifications

• High school diploma or equivalent (GED)
• Ability to read and write in English
• Ability to work with the elderly in a courteous and friendly manner.
• Excellent interpersonal skills.
• Ability to use Microsoft Office Suites (Word and Excel necessary) and Google Docs.
• At least 1 year of related work experience
• Scheduling experience in senior living is highly preferred.
