Position Overview: Schedules part orders, processes shipments, and interacts with customer service associates, master schedulers and floor supervisors.

Essential Duties and Responsibilities:

  • Handle damaged or lost shipments and file necessary claims.
  • Respond to all calls from Sales offices.
  • Assess and file service parts orders.
  • Negotiate delivery dates on large orders.
  • Prepare reports upon request.
  • Do all confirmation of shipments, bill of lading, and export paperwork.
  • Make all necessary decisions involved in scheduling service part orders for shipment. Interact with buyers and supervisors to obtain material for these orders.
  • Interpret government contracts and ascertain information from contracts to prepare associated documentation. Prepare documentation such as DD250 and special labeling.
  • Execute claims with trucking companies and UPS. Obtain and file all related forms. Follow through with Accounting Supervisor to make sure claims are paid in a timely manner.
  • Originate all documents for weekly shipment to Canada.
  • Contact trucking companies on a regular basis to obtain rates and quotes. Schedule special pick-ups with carriers.
  • Coordinate export shipment with export department. Develop labeling and complete all export documents, including export bill of lading.
  • Interface with Buyers, Master Schedulers, Customer Service and Supervisors.
  • In Supervisor’s absence, determine method of shipment for all orders. Correlate these orders for Shippers. Determine that all orders for current day are pulled for shipment.
  • Print, route and handle hot and/or expedited sales orders and/or transfer orders.
  • Process any email lists or spreadsheets of orders to pull ahead for month/quarter end.
  • Process Fastenal pack lists and send to Fastenal.
  • Print, route and take MDR’s to the quality dept. to assist in getting them out.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, work instruction, work orders, and pick sheets.
  • Ability to apply common-sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to work in a team environment.
  • While performing the duties of this job, the employee is frequently required to stand, walk, and talk or hear.

Requirements:
  • High school diploma or general education degree (GED); one to three months related experience.
  • Ability to read and interpret documents such as safety rules, government contracts, export releases, operation and maintenance instructions and procedure manuals.
  • Proficiency with Microsoft Office software applications and data entry.
