Assignment Type: 3-4+ month contract

Pay: $30-$34 an hour

Work Schedule: Monday–Friday, 9:00 a.m.–5:00 p.m., with a one-hour lunch; 35-hour workweek

Our client is a professional, collaborative, and research-focused organization within the nonprofit and higher education/education research space. The team is highly educated, collegial, and collaborative, with this position providing administrative support to a team of up to seven individuals.

Job Description:

Our client is seeking an experienced Administrative Assistant to provide high-level administrative support to an Assistant Vice President (AVP) and research team. This role will serve as a trusted administrative partner to the AVP, ensuring calendars, meetings, travel, communications, and day-to-day priorities are managed efficiently and professionally.

This position requires someone who can anticipate needs, identify potential conflicts before they arise, and keep the AVP informed of important deadlines, commitments, and developments. The Administrative Assistant will interact with senior executives, college presidents, community leaders, donors, staff, and external partners, making professionalism, discretion, and strong communication skills essential.

Key Responsibilities:

  • Provide comprehensive calendar management for the AVP, including prioritizing requests, resolving scheduling conflicts, and coordinating meetings
  • Serve as a primary point of contact between the AVP and internal and external stakeholders
  • Coordinate logistics for meetings, conferences, and events, including scheduling, agendas, presentation materials, catering, supplies, and follow-up
  • Prepare, organize, and distribute meeting materials, reports, presentations, and other documents
  • Prepare agendas and record meeting minutes when appropriate
  • Manage travel arrangements and coordinate related logistics
  • Prepare expense and mileage reports
  • Draft and format correspondence, memos, reports, presentations, and other professional documents
  • Design and edit PowerPoint presentations and other executive-level materials
  • Collect, organize, and prepare information for meetings with staff and external stakeholders
  • Maintain accurate contact lists and administrative records
  • Monitor upcoming commitments and proactively communicate priorities and follow-up items to the AVP
  • Anticipate the AVP's needs in advance of meetings, conferences, and other engagements
  • Exercise sound judgment when determining how to prioritize and respond to requests
  • Handle confidential and sensitive information with discretion and professionalism
  • Build and maintain strong working relationships with internal and external stakeholders
  • Assist with special projects and organizational initiatives
  • Provide additional administrative support as needed to support the overall goals of the organization

Qualifications:

  • 5–7 years of administrative assistant, executive assistant, or related administrative support experience
  • Significant experience supporting senior-level managers or executives
  • High school diploma required; college experience strongly preferred
  • Advanced proficiency with Microsoft Office Suite
  • Strong proficiency with Microsoft Word, Excel, PowerPoint, and Outlook
  • Experience creating and editing professional presentations and business materials
  • Excellent written and verbal communication skills
  • Exceptional organizational skills and attention to detail
  • Strong professional judgment and problem-solving abilities
  • Professional and polished when interacting with senior executives and diverse stakeholder groups
  • Strong interpersonal and relationship-building skills
