Position Summary
RPC's client is seeking a highly organized, professional, and proactive Administrative Assistant to provide direct support to the Director of Engineering & Technical Operations. This role will serve as a key point of coordination for day-to-day administrative functions, communication management, scheduling, reporting, project tracking, and organizational support across multiple departments.
The ideal candidate is detail-oriented, customer-focused, capable of managing multiple priorities simultaneously, and comfortable working in a fast-paced environment. Success in this position requires strong communication skills, critical thinking, sound judgment, and the ability to anticipate needs before they arise.
Essential Duties and Responsibilities
Administrative Support
- Manage and coordinate calendars, meetings, travel arrangements, and scheduling activities.
- Assist with preparation and submission of expense reports and related documentation.
- Organize and maintain files, records, reports, and department documentation.
- Prepare meeting agendas, notes, and follow-up action items.
Communication & Message Management
- Monitor and triage incoming emails, messages, and requests.
- Prioritize communications and escalate urgent matters appropriately.
- Draft, edit, and distribute professional correspondence as needed.
- Serve as a liaison between departments, customers, vendors, and leadership when appropriate.
Reporting & Coordination
- Compile daily, weekly, and monthly status reports, summaries, and briefing materials.
- Assist with project tracking, action item management, and follow-up activities.
- Maintain project schedules and coordinate activities among various stakeholders.
- Gather, organize, and present operational data as requested.
Data Entry & Systems Support
- Perform accurate data entry and database maintenance.
- Assist with document preparation, reporting, and record management.
- Support departmental administrative processes and workflow improvements.
Customer Support Assistance
- Provide supplemental support to Customer Service during slower periods.
- Create and manage basic Zendesk tickets and administrative service requests.
- Assist in routing customer inquiries to the appropriate personnel.
- Support departmental efforts to maintain high levels of customer satisfaction.
Additional Responsibilities
- Participate in special projects as assigned.
- Identify opportunities to improve administrative processes and efficiency.
- Support cross-functional initiatives involving Engineering, Technical Support, Customer Service, Operations, and Leadership.
- Perform other duties and responsibilities as assigned.
Qualifications
Education
- Associate's Degree preferred but not required.
- Relevant work experience may be substituted for formal education.
Experience
- 1-2 years of administrative, office support, coordinator, customer service, or related experience preferred.
- Experience supporting managers, directors, or executive-level personnel is a plus.
- Experience with Microsoft Office applications required.
- Experience with CRM, ticketing systems, or project management tools is beneficial.
