About the Position

A private digital creator and small content-production team are seeking a highly organized and discreet Personal Assistant in Manhattan.

This trusted, hands-on role combines personal assistance, executive support, household organization, travel coordination, errands, and production support. The PA supports the Creator, reports directly to the Content and Production Manager, coordinates with the COO on administrative collaboration and business needs, and works with remote team members as needed.

This is a full-time, nonexempt position with a variable schedule. It is not a traditional desk job: responsibilities shift between administrative work, city errands, travel preparation, household organization, and fast-moving shoot support.

What You Will Do:

Personal and executive support

· Manage the Creator's inbox and calendar daily with oversight, including organizing messages, drafting responses, scheduling, and flagging items requiring attention.

· Book appointments, reservations, fittings, services, and personal engagements.

· Maintain organized task lists, track assignments through completion, and communicate conflicts or delays promptly.

· Anticipate routine needs and help prevent scheduling or logistical problems.

· Receive, coordinate, sort, organize, and store PR packages for the Creator; move items between the residence, production locations, and storage as directed; and maintain a digital inventory updated weekly with each item's location and status.

Travel planning

· Plan and coordinate end-to-end travel for the Creator and Content and Production Manager, including flights, hotels, trains, ground transportation, itineraries, and scheduling. All bookings and purchases require advance approval from the Content and Production Manager or COO.

· Monitor trips and handle delays, cancellations, missed connections, and itinerary changes.

· Shift the daily work schedule to align with the team's active hours while they are traveling. This may require working at night from New York and providing scheduled on-call coverage during the team's assigned hours, with a response expected within 30 minutes for time-sensitive logistics.

· Organize the Creator's travel outfits, photograph each outfit, maintain an approved digital reference file for use during the trip, and inventory clothing and accessories upon return, flagging missing, damaged, cleaning, repair, or return needs.

· Assist with packing and unpacking for the Creator and organize travel receipts and documentation for bookkeeping.

· Be prepared to accompany the team on occasional domestic and international travel, including last-minute travel. When traveling with the Creator and Content and Production Manager, separate accommodations and approved travel expenses are provided.

Personal and household support

· Keep the Creator's apartment orderly through regular tidying and resetting, including the bed, dishes, clothing, laundry, and trash. Professional cleaners handle routine and deep cleaning.

· Coordinate with the Creator's personal chef on menu planning and with the Content and Production Manager to schedule meals around the Creator's calendar, travel, and production needs; provide light meal preparation, ordering, and pickup as needed.

· Receive deliveries and coordinate household vendors, repairs, services, and appointments.

· Complete personal, household, wardrobe, and business errands throughout New York City, including but not limited to groceries, supplies, pharmacy items, clothing, dry cleaning, pickups, deliveries, exchanges, and returns.

Production support

· Research and source props, clothing, costumes, and production materials and, after receiving advance approval, purchase, pick up, organize, and return them.

· Research and check shoot locations and help coordinate background participants.

· Pack production supplies and assist with setup, breakdown, load-in, load-out, props, urgent errands, and changing shoot-day needs, including carrying and moving production equipment before, during, and after filming.

· Coordinate with photographers, crews, vendors, and production partners. Camera responsibilities may be added as the role grows. Social-media account access will be provided only when assigned and after training.

Team coordination

· Work with the Company's remote administrative, bookkeeping, and content-support team as needed.

· Coordinate task handoffs and share approved files, receipts, schedules, travel confirmations, deadlines, and updates using approved systems.

· Work with the COO on administrative collaboration, team coordination, financial procedures, expense documentation, and related questions.

Reporting and Priorities

The PA reports directly to the Content and Production Manager, who coordinates the PA's schedule, daily workload, priorities, timekeeping, and advance approval of overtime. The PA also works with the COO on administrative collaboration, team coordination, finance procedures, and related questions.

All purchases, orders, expenses, and travel bookings must be approved in advance by the Content and Production Manager or COO. The PA has no independent spending authority.

The PA's work primarily supports the Creator. Requests from the Creator take priority, but scheduling conflicts, approvals, and changes affecting other assignments must be communicated promptly to the Content and Production Manager or COO.

What We Are Looking For

· At least one to two years of personal-assistant or executive-assistant experience.

· Based in or near New York City and able to work primarily in person in Manhattan.

· Available for a full-time, variable schedule that frequently includes evenings and weekends, scheduled on-call coverage, and occasional remote administrative work.

· Highly organized, dependable, responsive, discreet, and comfortable managing changing priorities.

· Valid driver's license, comfort driving in New York City, and a valid passport, with the ability to travel domestically and internationally on short notice. A personal vehicle is not required.

· Able to perform the essential physical responsibilities of the position, with or without reasonable accommodation, including lifting and carrying up to 60 pounds, standing and walking for extended periods, navigating airports and public transportation, and carrying production equipment.

· Comfortable using a secure personal laptop for occasional administrative work and legally authorized to work in the United States.

· Comfortable using common workplace technology, including email, calendars, shared documents, messaging platforms, and task-management systems. Experience with Asana and Google Workspace is preferred, but training will be provided.

· Creator-industry, social-media, travel-coordination, household, hospitality, or production experience is preferred. No college degree is required.

Confidentiality

This role provides access to highly private personal and business information. A strict confidentiality agreement is required.

The employee may not disclose or confirm the identity of the Creator, the Company, or the employment relationship without prior written authorization and must protect all private personal and business information. These requirements do not restrict legally protected communications or reports.

Employment Details

· Full-time, nonexempt W-2 employment, generally approximately 40 hours per week.

· $25 per hour, paid through payroll in accordance with applicable law.

· Variable schedule with frequent evening and weekend availability, scheduled on-call periods, and occasional domestic and international travel.

· Overtime requires advance approval from the Content and Production Manager or COO and will be paid in accordance with applicable law. All working time must be recorded accurately.

· Approved business expenses are reimbursed; a $50 monthly phone allowance is paid through payroll.

· No company-sponsored benefits or discretionary paid time off are offered at this time. Legally required paid and unpaid protected leave is provided.

· A 60-day introductory review period applies.
