Maintenance Parts Inventory Specialist

Department: Maintenance Reports To: Maintenance Manager FLSA Status: Hourly Non-Exempt

Position Summary

The Maintenance Parts Inventory Specialist manages, organizes, and tracks the facility's spare parts, tools, and maintenance supplies. This role ensures that critical components are available when needed to minimize equipment downtime while maintaining an organized, efficient, and cost-effective parts room. The ideal candidate combines a strong attention to detail with excellent organizational skills and experience handling industrial inventory.

Essential Duties & Responsibilities

  • Inventory Control & Management:Maintain precise records of all stock levels using a Computerized Maintenance Management System (CMMS) or ERP system. Conduct regular cycle counts and annual physical inventory audits to verify stock accuracy.
  • Receiving & Inspection: Receive incoming parts, verify shipments against purchase orders, inspect items for quality or defects, and promptly log them into the system.
  • Organization & Staging: Organize the parts room or tool crib for optimal space utilization and accessibility. "Kit" or stage specific parts and tools ahead of time for scheduled maintenance tasks and work orders.
  • Purchasing & Vendor Relations: Monitor inventory thresholds to identify low stock. Generate purchase requisitions, obtain supplier quotes, and coordinate with approved vendors to ensure timely deliveries and competitive pricing.
  • Shipping & Returns: Manage core returns, warranty claims, and repairs with external vendors. Package and ship parts requiring external refurbishment.
  • Safety & Compliance: Maintain a clean, safe, and organized parts department according to 5S or OSHA standards. Ensure proper handling and storage of hazardous materials or specialized equipment.
  • Perform other duties as assigned.

Qualifications & Skills

  • Education: High School Diploma or GED required; an Associate’s degree in supply chain, logistics, or a technical field is a plus.
  • Experience: 2+ years of experience in inventory management, warehousing, parts counter sales, or maintenance supportideally within an industrial, manufacturing, or heavy facility environment.
  • Technical Proficiency: Hands-on experience with inventory software, ERPs (like SAP, Oracle), or CMMS platforms (like Maximo, Fiix, or eMaint). Strong basic computer skills, particularly with Microsoft Excel.
  • Mechanical Knowledge: Familiarity with standard manufacturing or facility maintenance components (e.g., bearings, belts, motors, pneumatic/hydraulic fittings, electrical components) is highly preferred.
  • Core Competencies: High attention to detail, strong organizational skills, clear communication, and the ability to work independently in a fast-paced environment.

Employment & Physical Requirements

  • Must successfully complete required pre-employment screening, including a drug screen and background check.
  • Ability to stand, walk, bend, and reach for extended periods in a warehouse or factory environment.
  • Capability to safely lift, push, pull, or carry objects weighing up to 50 lbs.
  • Willingness to operate material handling equipment, such as forklifts or pallet jacks (certification provided on-site if required).
  • Must maintain regular and reliable attendance.
  • Must comply with all TekModo safety requirements and wear required PPE.
  • Must complete all required safety and job-specific training.
