We are looking for an experienced Administrative Assistant to support daily office operations and help create an organized, welcoming workplace. This long-term Administrative Assistant contract position is ideal for someone who thrives in a fast-moving environment, balances multiple priorities with ease, and communicates professionally across teams. The role offers the opportunity to contribute to front-of-office coordination, employee support, and smooth day-to-day administrative functions.

What you get to do every single day:

• Welcome guests, manage the reception area, direct incoming calls, and oversee incoming and outgoing mail and deliveries.

• Organize calendars for meetings, reserve conference rooms, and help ensure shared spaces are prepared for scheduled use.

• Monitor kitchen, beverage, and general workplace inventory so the office remains fully stocked and functional.

• Prepare outbound shipments, coordinate courier pickups, and track delivery needs as they arise.

• Provide day-to-day administrative assistance to various departments, helping teams stay organized and on schedule.

• Create and distribute internal office communications to keep employees informed of updates and logistics.

• Maintain relationships with external vendors and follow up on service needs, supply orders, and related requests.

• Coordinate facility issues by submitting and tracking maintenance requests, repairs, and workspace-related updates.

• Support onboarding logistics for new employees, including badge coordination, desk readiness, and workspace setup.

• Assist with onsite meetings by arranging rooms, coordinating technology needs, and organizing catering or other event support.

Other requirements for the Administrative Assistant position include and are not limited to:

• 3–5+ years of experience in administrative, office support, receptionist, or related business support roles.

• Bachelor’s degree preferred.

• Demonstrated ability to handle confidential information with sound judgment and professionalism.

• Strong organizational skills with the ability to manage competing priorities and meet deadlines in a busy office setting.

• Clear written and verbal communication skills, along with strong interpersonal abilities for working across departments and with visitors.

• Proficiency with standard office technology and computer applications, including data entry and general administrative systems.

• Self-directed, resourceful, and comfortable working independently while also contributing as a collaborative team member.

• Practical problem-solving skills and a proactive approach to improving day-to-day office operations.
