AAC is in need of a full-time Office Administrator/Manager to be a part of our internal office team in Irmo, SC. This is an ON-SITE position working normal 9-5 hours, Monday - Friday. We are a small, privately-owned IT Staffing and Consulting company that was founded in 2003. We offer a competitive salary including a full benefits package.
SUMMARY:
The Office Manager is responsible for overseeing daily office operations while managing key Human Resources and accounting functions. This role serves as a central point of coordination for employee administration, payroll review, benefits management, accounts payable and receivable processes, and employee lifecycle activities. The ideal candidate is highly organized, detail-oriented, and capable of handling confidential information with professionalism and discretion.
RESPONSIBILITIES:
Human Resources Administration
- Support and administer HR policies, procedures, and employee programs
- Maintain employee personnel files and ensure compliance with company policies and applicable employment laws
- Serve as a point of contact for employee questions regarding HR-related matters
- Assist management with employee relations issues and performance documentation
- Maintain HR records, reports, and compliance documentation
Recruitment, Onboarding, and Offboarding
- Coordinate pre-employment screenings, including background checks and verification processes
- Facilitate onboarding activities for new hires, including paperwork, orientation, training coordination, and system access
- Ensure employees complete all required employment documentation
- Manage offboarding procedures, including exit interviews, collection of company property, system deactivation, and final documentation
- Maintain accurate employee status records throughout the employment lifecycle
Payroll Administration
- Review payroll data for accuracy, completeness, and compliance with company policies
- Verify employee hours, wage adjustments, deductions, and benefit elections prior to payroll processing
- Coordinate with payroll providers or internal payroll personnel to ensure timely payroll submission
- Assist employees with payroll-related questions and concerns
Benefits Administration
- Administer company benefit programs including:
- Health Insurance
- Dental Insurance
- Vision Insurance
- Short-Term Disability Insurance
- Long-Term Disability Insurance
- Coordinate employee enrollments, changes, and terminations of benefits coverage
- Serve as liaison between employees, insurance carriers, and benefit providers
- Maintain benefit records and ensure compliance with enrollment deadlines and reporting requirements
- Assist employees with benefits-related inquiries and claims assistance
Accounts Payable
- Process vendor invoices accurately and timely
- Verify invoices, approvals, and coding before payment
- Prepare and distribute payments in accordance with company policies
- Maintain vendor records and resolve payment discrepancies
- Monitor accounts payable aging and ensure obligations are met on schedule
Accounts Receivable
- Generate and distribute customer invoices
- Monitor customer accounts and track outstanding balances
- Apply payments and maintain accurate receivable records
- Follow up on overdue accounts and assist with collections efforts
- Reconcile accounts receivable transactions and prepare reports as needed
Office Operations
- Oversee daily office functions and administrative activities
- Maintain office supplies, equipment, and vendor relationships
- Coordinate office maintenance and facility-related needs
- Develop and improve administrative procedures and workflows
- Support executive leadership with special projects and reporting
QUALIFICATIONS:
- Associate's or Bachelor's degree in Business Administration, Human Resources, Accounting, or related field preferred
- 3+ years of office management, HR, payroll, accounting, or related administrative experience
- Knowledge of HR practices, payroll processes, and employee benefits administration
- Experience with accounts payable and accounts receivable functions
- Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook
- Experience with QuickBooks strongly preferred
- Experience with HRIS, payroll, and accounting software preferred
- Ability to handle confidential information with discretion and professionalism
