Position Summary
We are seeking an organized, reliableBilling & Office Specialistto manage healthcare billing operations and keep our daily office functions running smoothly. In this role, you will oversee billing for adult day care services while serving as a primary point of administrative supporthandling central emails, participant documentation, and general front-office communications.
We offer predictable day shifts withno nights or weekends required.
Key Responsibilities
- Billing Operations:Process, verify, and submit accurate billing for adult day care services (including Medi-Cal/Medicaid, Managed Care Organizations, Long-Term Care Insurance, and private pay).
- Claims & Attendance Management:Reconcile daily attendance records into correct billing units, track accounts receivable, follow up on outstanding claims, and resolve billing discrepancies.
- Email & Front Office Communications:Monitor the primary office email inbox, manage incoming messages, respond to family or provider inquiries, and handle general correspondence.
- Administrative Operations:Maintain participant records in compliance with HIPAA standards, ensure required authorizations and care plans are up-to-date, assist with incoming calls/visitors, and support center directors with day-to-day office management.
Qualifications
- 1+ years of experience in medical/healthcare billing, long-term care billing, or health clinic office management.
- Experience with Medi-Cal/Medicaid authorization processes, insurance claims, or EHR/billing software preferred.
- Proficiency in Microsoft Office (Outlook, Excel, Word) and comfortable using digital communication tools.
- High attention to detail, strong organizational abilities, and clear written/verbal communication skills.
- Compassionate demeanor and a patient approach when interacting with seniors, families, and team members.
