We are a growing commercial property management company focused on providing exceptional service to our tenants and maintaining our properties to a high standard.

We are seeking a professional, organized, and personable Receptionist / Assistant Property Manager to serve as the first point of contact for our office while also assisting our property management team with the day-to-day operations of our commercial real estate portfolio.

This is a dual-role position that combines front-desk/receptionist responsibilities with property management and administrative support. The ideal candidate is someone who enjoys interacting with people, can manage multiple priorities at once, and is comfortable working in a busy, fast-paced property management environment.

Responsibilities

Reception & Office Support

  • Serve as the first point of contact for tenants, vendors, visitors, and prospective tenants
  • Answer and direct incoming phone calls professionally and efficiently
  • Greet and assist visitors entering the office
  • Receive tenant maintenance requests and ensure they are properly communicated to the appropriate team member
  • Monitor and respond to general office emails and inquiries
  • Receive and distribute mail, packages, notices, and other correspondence
  • Assist with scheduling appointments, property showings, inspections, and vendor visits
  • Maintain a professional, organized, and welcoming front-office environment
  • Provide general administrative support to management and other team members as needed

Assistant Property Management

  • Assist with the day-to-day management of commercial properties
  • Communicate with tenants regarding maintenance, rent, inspections, lease matters, property notices, and general concerns
  • Follow up with tenants to ensure maintenance requests and other issues are being addressed
  • Coordinate with maintenance staff, vendors, contractors, and service providers
  • Assist with rent collection efforts, late notices, lease renewals, and other tenant correspondence
  • Maintain accurate tenant files, lease records, reports, and property documentation
  • Assist with property inspections and document maintenance or appearance issues requiring attention
  • Assist with tenant move-ins and move-outs
  • Help market vacant units, respond to leasing inquiries, and schedule property showings
  • Assist with preparing and distributing notices and communications to tenants
  • Follow up on open maintenance items, vendor work, inspections, and other property-related matters
  • Support Property Managers and management with administrative and operational tasks
  • Help ensure tenant concerns are handled professionally, promptly, and with excellent customer service
  • Assist with maintaining company policies and property rules

Qualifications

  • Previous experience in property management, commercial real estate, office administration, receptionist work, or a related field preferred
  • Strong phone etiquette and professional communication skills
  • Excellent customer service and interpersonal skills
  • Highly organized with strong attention to detail
  • Ability to multitask and prioritize responsibilities in a busy office environment
  • Comfortable communicating with tenants, vendors, maintenance personnel, and management
  • Strong follow-up skills and ability to keep track of multiple open items
  • Proficient with Microsoft Office, email, and general office technology
  • Experience with property management software is a plus
  • Ability to work independently while also working effectively as part of a team
  • Professional appearance and demeanor
  • Reliable transportation and valid driver's license required

Ideal Candidate

The ideal candidate is friendly and professional at the front desk, but also proactive and organized behind the scenes. We are looking for someone who does more than simply answer phones or take messages. This person should take ownership of requests, follow up on outstanding items, communicate effectively with tenants, and help the property management team stay organized.

Because this position interacts with tenants throughout the day, excellent customer service is extremely important. We want someone who understands that tenant satisfaction depends on responsiveness, communication, professionalism, and consistent follow-up.
