JOB DESCRIPTION:

Planned Parenthood Gulf Coast is in search of an Administrative Support Specialist. This role will provide administrative support for Administrative Services and health centers.


Essential Functions:

  • Serve as back-up for opening/closing of Reception Desk
  • Serve as back-up for opening Prevention Park headquarter building
  • Participates in Saturday Reception Desk rotation schedule
  • Produce forms for Ambulatory Surgical Center monthly
  • Produce forms for family planning health centers monthly
  • Serve as back up for shipping & receiving assistance and operations
  • Screens incoming postal mail for security clearance
  • Sorts and distributes incoming mail
  • Participates in Inter-office mail runs to all floors at Prevention Park (as scheduled)
  • Mail processing for all outgoing first class USPS mail
  • Assist with outgoing package processing for UPS packages
  • Serve as primary contact for shred service vendor supporting all locations including remote health centers
  • Monitors and resolves Administrative Services work orders in Track-It work order system
  • Assist with stocking assigned shared work spaces (Coffee Bars, Task Rooms, HUB, etc.)
  • Assist with office equipment maintenance & service scheduling (includes remote health center copiers)
  • Handles vending machines service issues (refunds, service, etc.)
  • Serves as security first responder for fire, ambulance transports and other emergency situations
  • Provides break relief for Deputy on duty as needed
  • Process Inactive Records Transmittal requests
  • Assist with data entry of affiliate contracts management
  • Provide administrative support on affiliate wide projects as needed
  • Other duties as assigned

JOB REQUIREMENTS:

Qualifications:

  • Bilingual (English and Spanish). Must be fluent in spoken Spanish.
  • Excellent communication skills. Handle clients, visitors, callers, volunteers, staff and Board members in a courteous,
  • friendly, professional manner.
  • Ability to multi-task and handle phone calls and people simultaneously.
  • Ability to maintain a calm demeanor in the face of adversity (irate clients or callers, noise distractions such as
  • screaming children and multiple conversations).
  • Initiative and ability to work with minimal direction.
  • Ability to perform duties in a manner that exhibits commitment to providing quality service and continuous improvement.

 

Education and/or Experience:

  • High school diploma or general education degree (GED); one to three years related experience and/or training; or equivalent combination of education and experience.
